The Challenge

The central Manchester campus is situated close to Manchester’s city centre and a second campus is situated Cheshire, 36 miles (58 km) from Manchester. The University is arranged into eight faculties, each providing specialist learning, teaching and research hubs for students at undergraduate, postgraduate and professional development.

The central mail team service a range of academic buildings, staff offices and student accommodation blocks from Manchester down to Crewe. The volume of incoming mail to academic and administrative staff is nearly 200,000 letters and parcels annually. Providing an internal desk delivery service for post was proving to be costly both in terms of expense and resources, so Lee Willcocks, the Assistant Facilities Manager for Mail looked for a solution to the issue.

The Process

The University Facilities department decided to introduce a self-collect process for incoming post. To achieve this, mail rooms would have to be provided with racked space for both letters and parcels. The solution needed to be secure and comply with health and safety policies. Lee Willcocks explains, “We were already customers of Neopost and had always found their equipment and service to be excellent. The University’s newly built Faculty of Business and Law was nearing completion and we needed to install the self-collect post room in the new building as soon as possible. As we have a good relationship with Neopost, we asked them what they could propose.”

The Solution

Neopost offers a bespoke mailroom design service with a site visit to discuss requirements, take measurements and provide a computerised 3D image of the proposed design. The mailroom furniture is built to withstand the heavy demands of the University’s self-collect post rooms with metal frames manufactured from extra strong 50 by 25mm steel and hardwearing, laminated worktops.

“Neopost produced the design and installed the mailroom furniture. Staff access the room using their key cards, so it is secure with no unauthorised access. Letters and small parcels are left in their trays. For larger parcels, we leave a note in their tray and place the parcel in the work space underneath the racking unit”, Lee confirms.

Delivery and Results

“The installation went very well which meant we were able to keep on schedule for the new Faculty of Business and Law building.” Since the initial installation, Lee has rolled out the mail collection service to the other campuses across the University. “We now have 13 self-collect mailrooms across the University’s campuses, which has led to improved efficiency in terms of costs and human resources. Following the initial installation, I have designed the layouts for the subsequent collection points myself. It’s quite easy and straightforward using Neopost’s templates.”

Cutomer feedback

Lee and the University facilities department have been very pleased with the solution provided by Neopost mailroom furniture. “It’s really practical and safe to use. It’s easy to adjust the mail trays and there’s ample space for placing larger parcels underneath the racking. I would say that the Neopost furniture has proved to be an ideal solution to the self-collect post challenge for us.”

We send up to 100,000 items a month so the franking machines help enormously with throughput of that volume of post.
